Position Summary

The Patient Care Associate (PCA) is an essential member of the IMG team and often the first point of contact for our patients. This role is responsible for creating a welcoming, professional, and efficient patient experience while supporting the daily operations of the clinic.

For our Clermont location, we are looking for a highly dependable and self-directed professional who can work effectively with minimal supervision. The ideal candidate is someone who takes ownership of their responsibilities, thinks critically, identifies solutions, and understands how their work impacts both the patient experience and the overall operation of the clinic.

This is not simply a check-in/check-out position. The successful candidate will be expected to think beyond the immediate task, anticipate needs, recognize potential issues, ask thoughtful questions, and take initiative to keep the patient journey and daily workflow moving forward.

The PCA will interact with patients in person, by telephone, and through electronic communication while maintaining professionalism, empathy, confidentiality, and accuracy at all times.

Key Responsibilities

• Welcome patients and create a warm, professional first impression.
• Manage patient check-in and check-out processes accurately and efficiently.
• Verify and update patient demographic and appointment information while maintaining HIPAA compliance.
• Schedule and confirm appointments based on individualized care plans and clinic needs.
• Manage a high volume of incoming and outgoing telephone calls with professionalism and excellent phone etiquette.
• Coordinate follow-up appointments and communicate scheduling needs clearly with patients and internal team members.
• Monitor daily schedules and proactively identify potential scheduling, patient flow, or operational issues.
• Apply critical thinking and sound judgment when resolving routine challenges and determining appropriate next steps.
• Work independently and confidently with minimal supervision while knowing when to escalate an issue or ask for guidance.
• Take ownership of assigned responsibilities and follow tasks through to completion.
• Maintain accuracy while managing multiple priorities and competing demands.
• Communicate effectively with patients, providers, Medical Assistants, and other team members.
• Ask appropriate questions and listen attentively to understand patient needs.
• Maintain confidentiality and follow all HIPAA and IMG policies and procedures.
• Demonstrate knowledge and appropriate use of medical terminology.
• Support a positive, collaborative clinic environment and contribute to the overall success of the team.
• Assist with other clinic responsibilities as needed based on business and patient-care needs.

Qualifications & Requirements

• Minimum 6 months of experience in a medical office, hospital, clinic, or other clinical setting is required.
• Strong critical-thinking and problem-solving skills.
• Demonstrated ability to work independently with minimal supervision.
• Excellent customer service and communication skills.
• Strong organizational skills and attention to detail.
• Ability to multitask and prioritize responsibilities in a fast-paced environment.
• Familiarity with EMR systems; eClinicalWorks experience is a plus.
• Knowledge of medical terminology.
• Ability to maintain patient confidentiality and comply with HIPAA requirements.
• Reliable transportation.
• Successful completion of a standard Universal Background Check.
• Bilingual English/Spanish skills are highly preferred but not required.

Schedule

• Full-time, Monday–Friday
• 8:00 AM–5:00 PM Monday–Thursday
• 8:00 AM–4:00 PM Friday
• Day shift
• Occasional Saturday shifts may be offered based on business needs
• Overtime may be available when applicable
• Travel to other IMG clinics may occasionally be required based on business needs
• Mileage for approved business travel between clinics is reimbursed at the applicable IRS standard mileage rate.

Compensation

$18.00–$21.00 per hour

Compensation may be negotiable based on verified, directly relevant experience and qualifications.
